Attends 6 board meetings a year, in addition to 6 PTO General Meetings
· PTO President Leads PTO organization for WS/JL, primary PTO liaison with school principals and other parent groups in the district. Heads up the Fundraising committee, and oversees all programs. [Currently we have two Co-Presidents in this role]
· PTO Vice Presidents (Warm Springs, James Leitch) work with our President and is primarily responsible for organizing the Fall Fundraiser & Fall Stampede Event for their school. Participates in the fundraising committee. [Currently Warm Springs has 2 Co-Vice-Presidents in this role]
· Treasurer -- Responsible for PTO finances including tracking budgets and paying warrants. Participates in the fundraising committee. This year we also have an Assistant Treasurer to work with the Treasurer
· Secretary In charge of taking and publishing minutes from board and general meetings. Also helps craft email communications for PTO membership and PTO board.
· Financial Secretary Makes and reconciles all bank deposits.
· Auditor audits PTO financials, annually.
· Parlimentarian Ensures that the PTO follows its charter and by-laws.
PTO Board Members / Committee Chairs -- Position Descriptions
· Membership Recruiting/Database Coordinator In charge of membership drive and flyers; maintains communication with membership base (events calendar, emails). Participates in the fundraising committee. Also manages the database for the Fall Fundraiser donations and Fall Stampede.
· Membership Dues in charge of collecting dues and distributing receipts.
· Fall Fundraiser -- $ Collections collects forms and donation envelopes, records check numbers. Gives funds to Financial secretary to deposit, and forms to the Database Coordinator.
· Corporate Matching Coordinator Approves matching requests and receive funds from employers. Helps research corporate matching processes with employers as needed. Distributes flyers as needed, to encourage corporate matching requests.
· Escrip Coordinator Key contact for PTO with Escrip, to recruit families to participate and receive funds. Distributes flyers as needed to encourage Escrip signup.
· Newsletter & Web Communications Publishes the PTO Newsletter and creates/maintains relevant communications for the website.
· PTO Volunteer Recognition Chair Receives submissions and nominations for the PTO recognition levels, presents awards at PTO general meetings. Manages recognition database and recognition postings at both schools.
· Communications Chair Oversees the maintenance and operation of the school-wide email lists. Also sets up specific lists (classroom, committees) as needed. Manages the grade level moderators. Provides training to moderators (room parents or teachers), helps set policy for appropriate communications.
· Expressions Art Contest (WS & JL) Coordinates and manages the contest, from distributing rules and entry forms, to collecting the artwork, and organizing the judging and awards distribution.
· FAME Scheduling James Leitch. Coordinates docents to teach FAME classes at Leitch, 6x/year.
· FAME Scheduling Warm Springs. Coordinates docents to teach FAME classes at Warm Springs, 6x/year.
· FAME Setup & Training In charge of setting up for FAME at both schools, and organizing the orientation for each lesson. Maintains binders and acquires materials.
· Music for Minors Coordinates docents who participate in the program. Main liaison with the Fremont-based organization, and with the school sites. Manages procurement and maintenance of instruments at both schools. Leads lesson planning and collects feedback from teachers and staff regarding the program and docent performance.
· Technology Support Coordinator Helps track all PTO purchased equipment, assist teachers in supporting their equipment as needed.
· Volunteer Coordinator (WS/JL) Keeps track of parents who want to volunteer for ad-hoc needs (e.g. Picture Day, Hearing Screening, etc), and sends out recruitment emails as needs arise
· Copy Angel Coordinator (Warm Springs) Recruits, trains and schedules copy angel volunteers for Warm Springs.

· Disaster Preparedness Coordinator (James Leitch): Works together with principal, site safety committee, and Warm Springs preparedness coordinator to inventory and update emergency supplies.

· Head Room Parent (Warm Springs) Organizes all of the room parents from every classroom at Warm Springs, and maintains communication with the group. Ensures that all room parents meet a set of common expectations from teachers across classrooms.
